Privacy policy
Keel & Wing, operated by Conduit Dynamics
Effective date: [PLACEHOLDER]
Who we are and what this policy covers
You use Keel & Wing. It is communication software for boat and aircraft repair shops. Conduit Dynamics operates it. The company is based in Florida. This Privacy policy explains what information we collect. It explains how we use it. It explains who we share it with. It explains how long we keep it. It explains the choices you have. It applies to two groups. The repair shops that subscribe to Keel & Wing are one group. We call them the shop. The boat and aircraft owners who call, text or message a shop that uses Keel & Wing are the other group. We call them you or the customer.
Your information belongs to the shop
The shop owns the information it collects through Keel & Wing. Conduit Dynamics processes the information for the shop. The shop decides how to use the information in its business. Contact the shop first with questions about your information. Conduit Dynamics does not use one shop's information for any other shop.
Information we collect
We collect the information needed to run the shop's phone, text and estimate workflow. We collect your name, phone number, email and WhatsApp number. We collect your preferred language. We collect details about your boat or aircraft such as make, model, year, identifiers like a hull identification number or N-number, engine hours and where it is kept. We collect the repair job, estimate lines and photos the shop shares with you. We collect the text, WhatsApp, email and web chat messages you exchange with the shop. We collect call recordings and transcripts when recording is on. We collect appointment details. We collect your consent records for texting and call recording, with the time and the source of each consent. We collect payment tokens and receipts. Card numbers are handled by Stripe and never stored by us. We collect an audit log of who accessed or changed customer information, when, and from where. For shop staff we also collect account details such as name, role, phone and login information.
How we use it
We use this information to answer and return the shop's calls. We text back missed calls. We send appointment confirmations. We send estimates for the shop's customers to approve. We send repair status updates. We schedule appointments. We collect deposits and payments through Stripe. We give the shop a dashboard of its own activity. We keep the service secure. We meet legal obligations. We provide support. We do not sell personal information. We do not use shop or customer information to train artificial intelligence models outside that shop's own account unless the shop gives us written consent.
The AI assistant
Calls and texts to the shop may be handled by an AI assistant that answers on the shop's behalf, in English or Spanish. If you ask whether you are speaking with an AI or a person, the assistant tells you truthfully that it is the shop's AI assistant. It never claims to be a human or a named member of the shop's staff. With the shop owner's written consent, the assistant may speak in a cloned version of the owner's voice. The assistant drafts text for the shop's people to review. The shop remains responsible for every diagnosis, price, completion date and repair. The AI and Conduit Dynamics are not responsible. For aircraft, maintenance records are signed by the certificated mechanic. The software only drafts text for a human to review.
Call recording
We do not record the audio of calls. While a call is in progress, the conversation is converted to text so the assistant can understand and reply. After the call, we keep a short summary of the request (for example, your name, callback number, boat or aircraft, and the problem) so the shop can follow up. The full call transcript is deleted after processing, unless the shop has turned on transcript retention for quality review, in which case transcripts are kept for up to 90 days. If you ask during the call that nothing be kept, the transcript is deleted.
Text messages (SMS program disclosures)
Program name: Keel & Wing text messages, sent on behalf of your repair shop by Conduit Dynamics. Messages you may receive: appointment confirmations, estimate approval requests, repair status updates, and two-way replies to your questions. How you opt in: you give consent when you call the shop or book service with the shop and agree to receive text messages; each opt-in is logged with the time and the source (for example, phone call, booking, or missed call text-back). Message frequency varies. Message and data rates may apply. Reply STOP to cancel. Reply HELP for help. Spanish speakers can reply PARA to cancel and AYUDA for help; STOP and HELP also work in either language. Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. We do not sell or share your SMS opt-in data or personal information with third parties for marketing purposes. Text messages are used only for the shop's service communications; the shop needs your separate written consent before sending you marketing texts.
Who we share it with
We share information only with the service providers that help us run Keel & Wing, and only so they can do that work: Twilio (phone calls, text messages, WhatsApp), ElevenLabs (speech to text, text to speech and voice), Google (AI processing of call text to understand requests), Stripe (payments), Vercel (web hosting), Neon or Supabase (database), and our voice infrastructure provider (real-time call handling). Each of them handles information under its own contract with us. We also share information when the shop directs us to, when the law requires it, or to protect the safety and rights of people using the service. We do not sell personal information and we do not share mobile information with third parties or affiliates for marketing or promotional purposes.
Payments
Card payments are processed by Stripe. Your card number goes to Stripe directly and never touches our servers. Conduit Dynamics stores only the payment token Stripe gives us and the receipt for each payment.
How long we keep it
We keep information for as long as the shop's account is active and the shop needs it for the repair relationship. We do not keep call audio. Full call transcripts are deleted after processing unless the shop has turned on transcript retention, in which case they are kept for up to 90 days. When a shop or a customer asks us to delete information, we delete it within 30 days, except for records we must keep to meet a legal obligation or to honor an opt-out. We keep a record of STOP requests so we do not text that number again. When a shop cancels, its data is deleted on request within 30 days.
Your choices
You can ask to see, correct or delete the information a shop holds about you by contacting the shop. You can also contact us at the address below and we will work with the shop. You can stop text messages at any time by replying STOP or PARA. You can decline call recording by saying so at the start of a call. Shop owners can request deletion of their account data at any time and we complete it within 30 days.
Security
We protect information with encryption in transit and at rest. We keep each shop's data separate from every other shop's data. We use expiring signed links for photos and documents. We use role-based access for shop staff. We keep an audit log of every read and write of customer information.
Changes to this policy
If we change this Privacy policy we will post the new version with a new effective date. Material changes affecting a shop will be sent to the shop by email.
